Images in Templates

Learn how to add and customize images in your PDF CreateMate templates, including static images and dynamic images from HubSpot properties.

Static Images

You can include fixed images in your templates—logos, headers, watermarks, and decorative elements that appear the same in every generated document.

Adding Static Images

  1. Open your template in Microsoft Word
  2. Go to Insert > Pictures
  3. Select your image file
  4. Position and resize as needed
  5. Save the document

Image Best Practices

Aspect Recommendation
Format PNG, JPG, or GIF
Resolution 300 DPI for print quality
Size Embed, don't link
Color Mode RGB for digital, CMYK for print
Always embed images in your Word document. Linked images won't transfer when you upload to PDF CreateMate.

Dynamic Images

Display different images based on HubSpot data—like contact photos, company logos, or product images stored in HubSpot.

Using Image Properties

If you have a HubSpot property containing an image URL:

  1. Add a placeholder image in your Word template (or an image placeholder block in HTML).
  2. In PDF CreateMate, map the placeholder to the HubSpot property.
  3. The property should contain a valid image URL. You can optionally add sizing modifiers in the placeholder, e.g. {{company_logo | width:300 | height:120}} (applies to file-type properties in Word, Google Docs, and HTML templates).

Supported Image Sources

Dynamic images must be accessible via URL:

  • HubSpot file manager URLs
  • Public image URLs (https://)
  • Signed URLs with temporary access
Ensure image URLs are accessible to the converter. For DOCX (CloudConvert), private HubSpot file URLs generally work. For HTML (DOMPDF), external images must be publicly reachable.

Image Sizing

Fixed Size

Set exact dimensions in your Word template:

  1. Right-click the image
  2. Select Size and Position
  3. Set specific width and height
  4. Uncheck "Lock aspect ratio" for exact sizing

Proportional Scaling

Maintain aspect ratio while fitting a space:

  1. Set the maximum width OR height
  2. Keep "Lock aspect ratio" checked
  3. The image scales proportionally

Common Issues

Images Not Appearing

Problem: Static images don't show in generated PDFs.

Solutions:

  1. Ensure images are embedded, not linked
  2. Check image format is supported (PNG, JPG, GIF)
  3. Re-insert the image and save the document
  4. Upload a fresh copy of the template

Blurry Images

Problem: Images appear low quality in the PDF.

Solutions:

  1. Use higher resolution source images (300 DPI minimum)
  2. Don't upscale small images in Word
  3. Check Word's image compression settings

Images Moved Position

Problem: Images shift when the PDF is generated.

Solutions:

  1. Use tables to lock image positions
  2. Set image text wrapping to "In Line with Text"
  3. Anchor images to specific paragraphs
  4. Use fixed positioning in Word

Logo Placement Examples

Place your company logo in the header for every page:

  1. Double-click the header area in Word
  2. Insert your logo image
  3. Position left, center, or right
  4. Close the header

Watermark

Add a transparent watermark:

  1. Go to Design > Watermark > Custom Watermark
  2. Select Picture watermark
  3. Choose your image
  4. Adjust scale and washout settings

Similar to header placement but in the footer area.

File Size Considerations

Large images increase template size and generation time:

File Size Recommendation
< 500 KB Ideal
500 KB - 2 MB Acceptable
> 2 MB Optimize before use

Optimizing Images

  1. Resize images to the actual display size needed
  2. Use appropriate formats (JPG for photos, PNG for graphics)
  3. Compress images without visible quality loss
  4. Use online tools like TinyPNG or Squoosh
