Template Features

Can I add checkbox fields?

Yes, you can include checkbox-style elements in your templates. Use Unicode checkbox characters (☐ or ☑) or images in your Word template. For dynamic checkboxes based on HubSpot data, use conditional blocks.

How can I add pagination?

PDF CreateMate preserves the pagination from your Word template. To add page numbers:

  1. In Microsoft Word, go to Insert > Page Number
  2. Choose your preferred position (header, footer, etc.)
  3. Format as desired
  4. Save and upload to PDF CreateMate

Can I use text boxes?

Text boxes from Word templates are preserved in the generated PDF. However, for best results:

  • Keep text boxes simple
  • Avoid overlapping elements
  • Test thoroughly after upload

Can I create editable PDFs?

No, generated PDFs are not editable after creation. When PDF CreateMate generates a document:

  • All data is filled in and locked
  • The PDF is flattened (form fields become static text)
  • Recipients cannot modify the content

This applies to all template types (Word, Google Docs, HTML, and PDF Forms).

If you need recipients to sign documents: Use the Signatures feature. For PDF Form templates, you can select signature areas directly on the PDF.

Data & Properties

How can I use the current date in my PDF?

PDF CreateMate includes a built-in {{todayDate}} placeholder that automatically inserts the current date at generation time. Simply add it to your template:

{{todayDate}}

The date is formatted according to your Date Format settings. No HubSpot property setup is required.

Can I use data from associated objects?

Not currently. PDF CreateMate only accesses properties directly on the HubSpot object being used to generate the document (Contact, Deal, Company, etc.).

Associated objects (like related Companies on a Contact, or Line Items on a Deal) are not automatically fetched or available in templates.

Workaround: Use HubSpot workflows to copy associated object data into custom properties on the primary object before document generation.

How can I sync object properties?

Properties are synced automatically when documents are generated. For real-time sync:

  1. Ensure your HubSpot connection is active
  2. Property values are fetched at generation time
  3. Any updates in HubSpot appear in subsequent generations

Automation

Can PDFs be automatically created and sent based on a trigger?

Yes! Use HubSpot workflows to:

  1. Trigger PDF generation on any HubSpot event
  2. Store the PDF on the record
  3. Send it via email using workflow actions

Can we create PDFs on an automated schedule?

While PDF CreateMate doesn't have built-in scheduling, you can achieve this with:

  1. HubSpot Workflows: Trigger based on date properties
  2. HubSpot Operations Hub: Use custom code actions for scheduling
  3. Third-party automation: Connect via Zapier or Make

Signatures

What type of signature does PDF CreateMate use?

PDF CreateMate uses electronic signatures that are:

  • Legally binding in most jurisdictions
  • Timestamped and tracked
  • Stored with the document

For certified digital signatures with higher legal requirements, consult your compliance team.

How many people can sign a document?

PDF CreateMate supports up to two signers per document:

  • Primary signer — the main recipient who receives the signing link
  • Counterparty signer — an optional second signer (e.g., your team member countersigning)

Each signer receives their own signing link. Enable Counterparty Signature in the template settings to add a second signer.

Limitations

Is there a limit on properties per template?

There's no hard limit on properties. However, for optimal performance:

  • Keep templates focused (avoid hundreds of properties)
  • Use only properties you need
  • Complex templates may take longer to generate

Can I merge multiple PDFs?

PDF merging within a single generation is not currently supported. Alternatives:

  • Combine content in one template
  • Use multi-page templates
  • Merge PDFs externally after generation

Can I export HubSpot dashboards or reports as PDFs?

PDF CreateMate generates documents from record data, not dashboards. For dashboard exports:

  • Use HubSpot's built-in export features
  • Consider third-party reporting tools

Can I export form submissions as PDFs?

Form submission data can be converted to PDFs:

  1. Form submissions create/update HubSpot contacts
  2. Use workflow triggers on form submission
  3. Generate PDF from the contact record

Other Questions

Does PDF CreateMate work with tools other than HubSpot?

Currently, PDF CreateMate is designed specifically for HubSpot. We focus on deep HubSpot integration rather than broad platform support.

Can I use Google Docs instead of Word?

Yes: import Google Docs via the Template Builder (public or service-account shared link). The doc is converted to .docx on import. Google Sheets/Slides are not supported. You can also paste/upload HTML as an alternative.
