Generate Documents

Once your templates are configured, you can generate personalized PDF documents automatically or manually. This section covers all the methods available for document generation.

In This Section

The recommended method for automated PDF generation. Use HubSpot's native workflow actions to trigger document creation based on any event or condition.

Workflows (Legacy)

The original workflow-based method using trigger properties. This approach is deprecated in favor of Workflow Actions.

Manual Generation

Generate documents on-demand for specific contacts by bulk-editing the trigger property in HubSpot.

Regenerate Documents

Update existing documents when contact data changes, either from PDF CreateMate or directly in HubSpot.

Generation Process

When a document is generated:

  1. PDF CreateMate receives the trigger from HubSpot
  2. Contact/object data is fetched from HubSpot
  3. Data is merged with your template
  4. PDF is generated and uploaded to HubSpot Files
  5. File property is updated with the document URL
Credits use a 100-credit base per PDF. Costs: 100 (no signature), 300 with one signature (+200), 400 with two signatures (+100 more). Feature add‑ons (cloud sync, extra pages/placeholders) consume additional credits. Check your dashboard for the current balance.
