Templates
Import from Google Drive New
PDF CreateMate lets you import templates directly from Google Docs. This is useful when your team creates and edits templates in Google Workspace rather than Microsoft Word.
Three Ways to Import
You can import Google Docs in three ways:
- Public Link - Make your document publicly viewable and paste the link
- Private Document - Share your document with PDF CreateMate's service account
- HTML Paste/Upload - If you only need the content (no Google-specific formatting), you can paste or upload HTML directly in the builder instead of using Google Docs.
Choose the method that best fits your workflow and security requirements.
Method 1: Public Link (Quick Setup)
This is the fastest way to import a Google Doc. Your document must be set to "Anyone with the link can view."
Steps
- Open your Google Doc template
- Click Share in the top right corner
- Under "General access," change from "Restricted" to Anyone with the link
- Set the permission to Viewer (this is sufficient)
- Click Copy link
- In PDF CreateMate, go to Templates and click Template Builder
- Select Google Docs as the template type and click Next
- Proceed to the Document Source step
- Paste your Google Doc URL — the app verifies access automatically
Method 2: Private Document (Recommended for Business)
Keep your document private by sharing it only with PDF CreateMate's service account. This is the recommended method for business documents.
Steps
- Open your Google Doc template
- Click Share in the top right corner
- Paste the service account email in the "Add people" field:
google-drive@pdf-createmate-484707.iam.gserviceaccount.com - Click Send (no notification email is sent to service accounts)
- In PDF CreateMate, go to Templates and click Template Builder
- Select Google Docs as the template type and click Next
- Proceed to the Document Source step
- Paste your Google Doc URL — the app verifies access automatically
The service account email is also shown inside the builder when access verification fails — look for the Option A instructions to copy it directly.
Supported URL Formats
PDF CreateMate accepts various Google Docs URL formats:
https://docs.google.com/document/d/DOCUMENT_ID/edit
https://docs.google.com/document/d/DOCUMENT_ID/view
https://docs.google.com/document/d/DOCUMENT_ID
The document ID is the long string of characters in the URL between /d/ and /edit.
After Import
Once your Google Doc is imported:
- PDF CreateMate converts it to DOCX format automatically
- Your placeholders are detected (e.g.,
{{firstname}},{{company}}) - You can configure default values for each property
- Set up storage location and file naming
- Save and configure your HubSpot workflow
If you used HTML paste/upload instead, the HTML is analyzed for placeholders and rendered with DOMPDF (no Google Doc conversion).
Troubleshooting
"Access Denied" Error
Problem: PDF CreateMate cannot access your Google Doc.
Solutions:
-
For Public Link method:
- Open your Google Doc and click Share
- Verify "General access" is set to "Anyone with the link"
- Make sure the permission is at least "Viewer"
-
For Private Document method:
- Open your Google Doc and click Share
- Check that the service account email is in the "People with access" list
- The email must be exactly:
google-drive@pdf-createmate-484707.iam.gserviceaccount.com - Try removing and re-adding the service account
"Invalid URL" Error
Problem: The URL you entered is not recognized.
Solutions:
- Make sure you're pasting a Google Docs URL (not Sheets or Slides)
- The URL should contain
docs.google.com/document - Copy the URL directly from your browser address bar
"Unsupported Document Type" Error
Problem: You're trying to import something other than a Google Doc.
Solutions:
- PDF CreateMate only supports Google Docs (.gdoc)
- Google Sheets (.gsheet) are not supported
- Google Slides (.gslides) are not supported
- Convert your spreadsheet or presentation to a Word document first, then upload as DOCX
Document Looks Different After Import
Problem: Formatting changed during the import process.
Solutions:
- Google Docs and Word have some formatting differences
- Complex layouts may need adjustment
- Tables and images usually import correctly
- Custom fonts may fall back to standard fonts
- Test the generated PDF to verify the final appearance
